Privacy Policy

1. Introduction

EDified Strategies LLC ("we," "us," "our," or "Company") operates the EDified Strategies platform (the "Service"). We are committed to protecting your privacy and ensuring transparency about how we collect, use, and process your information.

By using the Service, you consent to the practices described in this Privacy Policy. If you do not agree with our practices, please do not use the Service.

2. Information We Collect

Information You Provide Directly

Account Registration: When you create an account, we collect your full name, email address, school name and affiliation, your role (teacher, administrator, board member, etc.), school context information, and password (securely hashed).

Billing Information: When you subscribe, we collect billing name, address, email, and payment method information (processed securely through Stripe; we do not store full payment card data).

Content You Submit: We collect lesson plans, school policies, educational assessments, and other materials you upload or paste into the Service for AI processing, as well as messages or feedback you send to our support team. Users are responsible for de-identifying content before submission. We do not knowingly collect student personally identifiable information, but we cannot guarantee that content submitted by users will not contain such information.

Information Collected Automatically

When you use the Service, we automatically collect IP address, device information, browsing activity (pages visited, features used, time spent), usage data (which AI tools you use, frequency, output downloads), referring website, dates and times of activity, and clicks and interactions within the Service.

We use cookies and similar tracking technologies to keep you logged in, understand how you use the Service, personalize your experience, prevent fraud, and analyze performance.

Information from Third Parties

If you authenticate via Google OAuth, we receive your email address, name, profile picture, and Google account ID. We may also receive information from Stripe (payment status, fraud detection), Supabase (authentication logs), Vercel (infrastructure logs), and analytics providers.

3. How We Use Your Information

Service Provision: We use your information to create and maintain your account, deliver the Service, process payments, respond to inquiries, and verify your identity.

AI Processing: Content you submit to the Service (lesson plans, policies, assessments) is transmitted to Gloo AI Studio for AI processing. Your content is transmitted to and processed by Gloo AI Studio's servers and may be retained by Gloo for service improvement and AI model training purposes. We use submitted content to generate AI outputs personalized to your school's context, improve the accuracy and relevance of the Service, and analyze patterns in educational needs and practices (in aggregated, anonymized form). Third-party AI providers (currently Gloo AI Studio) may use submitted content for their own service improvement and model training purposes, subject to their privacy policies.

Communications: We send essential service notifications (account confirmations, billing updates, security alerts). If you opt in, we may send marketing communications. You can opt out of marketing by clicking "Unsubscribe" in any email or contacting sean.riley@edifiedstrategies.com.

Analytics: We use information about your usage to understand how the Service is used, identify technical issues, and improve the user experience.

4. How We Share Your Information

We share information with essential service providers: Supabase (authentication and database), Stripe (payment processing), Vercel (hosting), Gloo AI Studio (AI processing), and Google (OAuth authentication). Each provider is bound by their own privacy policies and applicable data protection laws.

We may share aggregated, anonymized information with analytics providers and educational researchers. We may disclose information when required by law, including responses to subpoenas, court orders, or government requests.

We do NOT sell or rent your personal information to third parties for marketing purposes.

5. Data Retention

As long as your account is active, we retain your account information, billing history, submitted content, and usage logs. After account termination, login credentials and personal information are deleted or anonymized within 30 days. Billing information is retained as required by tax law (typically 7 years). Content submitted to AI tools may be retained by Gloo AI Studio subject to their privacy policy.

6. Data Security

We implement encryption in transit (TLS/SSL), encryption at rest for sensitive data, access controls, secure authentication, and regular security assessments. While we implement comprehensive security measures, no security system is completely impenetrable. We cannot guarantee the absolute security of your information.

If we become aware of a security breach affecting your personal information, we will investigate promptly, notify affected users without unreasonable delay, and comply with applicable data breach notification laws.

7. Your Privacy Rights

You have the right to access a copy of your personal information, request correction of inaccurate information, request deletion of your personal information (subject to legal retention requirements), opt out of marketing communications, and request that we not use your content for AI model training.

8. Children's Privacy (COPPA)

EDified Strategies is designed for educators and administrators aged 18 and above and does NOT knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will delete that information immediately. Users are responsible for not submitting student data or personally identifiable information about children.

9. FERPA Compliance

EDified Strategies does not maintain student education records and does not serve as a school official under FERPA. You are responsible for de-identifying student information before submission and complying with your school's FERPA policies.

10. California Privacy Rights (CCPA)

If you are a California resident, you have the right to know what personal information we collect, request deletion of your personal information, opt out of the sale of personal information (EDified Strategies does not sell personal information), and not receive discriminatory treatment for exercising your rights. To exercise CCPA rights, email sean.riley@edifiedstrategies.com with "CCPA Request" in the subject line. We will respond within 45 days.

11. Cookies

We use essential cookies (session management, CSRF protection), analytics cookies (usage tracking, error detection), and preference cookies (language and display settings). Most browsers allow you to control cookies through settings. Blocking essential cookies may prevent the Service from functioning properly.

12. International Users

The Service is operated from the United States. If you are located outside the United States, your information will be transferred to and processed in the United States. For users in the European Union, we process information based on contractual necessity, consent, legal obligation, and legitimate interest, and we maintain data processing agreements with our service providers.

13. Changes to This Policy

We may update this Privacy Policy to reflect changes in our practices, technology, or legal requirements. For material changes, we will provide prominent notice on our website or email you before changes take effect. Your continued use of the Service constitutes acceptance of the changes.
